DATA RETENTION POLICY

Fervo Live Limited ("Fervo Live", "we", "us" or "our") is committed to ensuring that personal data is processed fairly, lawfully and transparently. This Data Retention Policy explains how long we retain different types of information and how we securely dispose of information when it is no longer required.

 2. CUSTOMER AND PROSPECTIVE CUSTOMER RECORDS
Information provided by prospective customers, including enquiries, quotations and initial correspondence, may be retained for up to 2 years following the last meaningful contact where no contract is entered into.
For active customers, relevant records may be retained for the duration of the business relationship and for up to 6 years afterwards where necessary for contractual, legal, accounting or dispute-resolution purposes.
 3. EVENT AND CAMPAIGN RECORDS
Records relating to events and experiential marketing campaigns may include briefs, schedules, staffing information, logistics documents, reports and client correspondence.
Relevant campaign records may normally be retained for up to 6 years following completion of the project where required for contractual, operational or legal purposes.
4. STAFF, FREELANCER AND APPLICANT INFORMATION
Information relating to staff, freelancers, Brand Ambassadors, Event Managers and applicants may include contact information, application details, work history, availability, booking records and performance information.
Successful applicant and worker records may be retained for the duration of the working relationship and afterwards where required for legal, contractual, tax or legitimate business purposes.
Unsuccessful applicant information will normally be retained for up to 6 months unless the individual has agreed that we may retain their details for consideration for future opportunities.
5. CONTRACTS AND FINANCIAL RECORDS
Contracts, invoices, payment records and other financial information will be retained for the period required under applicable UK tax, accounting and legal requirements.
Certain financial records will normally be retained for at least 6 years after the relevant accounting period.
6. EMAILS AND BUSINESS CORRESPONDENCE
Business correspondence is retained only for as long as reasonably necessary.
Correspondence relating to contracts, payments, complaints, disputes or other important business matters may be retained for up to 6 years or longer where there is a legal requirement to do so.
Routine enquiries that do not result in a business relationship may be deleted sooner.
7. PHOTOGRAPHS AND EVENT MEDIA
Photographs, videos and other media captured during events may be retained for campaign reporting, portfolio, marketing or legitimate business purposes, subject to applicable data-protection requirements and any agreement with the relevant client.
Where appropriate, individuals may contact us to raise concerns or request that identifiable material is removed.
8. WEBSITE AND CONTACT FORM DATA
Information submitted through our website, including through enquiry or contact forms, will only be retained for as long as reasonably necessary for the purpose for which it was provided.
If an enquiry develops into a business relationship, relevant information may become part of our customer or project records.
9. SECURE DELETION
When personal information is no longer required, we will take reasonable steps to securely delete, destroy or anonymise it.
Electronic information will be removed from systems where reasonably practicable and physical documents containing confidential information will be securely destroyed.
10. LEGAL REQUIREMENTS
We may retain information for longer than the periods described in this policy where required by law, regulation, taxation requirements, legal proceedings, insurance requirements or where necessary to establish, exercise or defend legal claims.
11. YOUR DATA PROTECTION RIGHTS
Individuals may have rights under UK data-protection law in relation to their personal information, including rights of access, correction, deletion, restriction and objection in certain circumstances.
